RealtorDesk Privacy Policy

What we collect

• Account details: your name, email address, phone number and role at your brokerage.
• Client records you or your brokerage enter: names, phone numbers, email addresses, property interests, notes, tasks, pipelines and transactions.
• Communications: texts and emails sent through RealtorDesk, call logs, and recordings of calls placed or received through RealtorDesk.
• Photos and files you attach to a client or a message.
• Information you submit in forms on this website.
• We do not use advertising identifiers, we do not track you across other apps or websites, and the app does not read your phone's address book.

What the app keeps on your phone

Your signed-in session (in the iPhone Keychain or Android's encrypted storage) and your display preferences. Client data is loaded from the CRM as you use it and is not saved on the phone. Deleting the app removes what it kept on the phone.

Permissions

• Microphone: to place and take calls in the app.
• Camera and photos: only when you choose to take or attach a photo or document.
• Face ID: if you turn it on, the check happens on your phone; we never see your face.
• Refusing a permission leaves the rest of the app working.

Call recording

Calls placed or received through RealtorDesk may be recorded so your brokerage has a record of the conversation.

How we use it

Only to run RealtorDesk for your brokerage: showing your clients and messages, placing calls and texts, routing leads, reminders and reports, and to answer requests sent through this website. We do not sell personal information and we do not share it for advertising.

Who processes it for us

Service providers that run RealtorDesk on our instructions and under contract: Convex (database and hosting), Vercel (web app hosting), Twilio (calls, texts and call recordings), Postmark (email delivery), Retell (AI phone and chat assistants), Anthropic (AI features in the CRM), and Apple and Google (push notifications). Your brokerage can see the data in its own RealtorDesk account.

Where and how long

Data is stored in the United States. We keep it while your brokerage's account is open. When a brokerage cancels, we keep its data for 90 days so it can be exported, then delete it. Deleted records can be recovered for 60 days before they are permanently removed, and our backups roll off within 30 days after that. Audit logs are kept for one year. We may keep some records longer when the law requires it.

Your rights

You can ask for a copy of your information, ask us to correct it, or ask us to delete it by emailing hello@realtordesk.net. Because your account belongs to your brokerage, some requests may go through your brokerage's administrator; we will tell you if so. California residents have the right to know, delete, correct and port their personal information, and we do not sell or share it.

Children

RealtorDesk is not directed at children and we do not knowingly collect information from anyone under 16.

Security

All traffic uses HTTPS. Sessions are kept in the phone's protected credential storage.

Changes

If we change this policy we will update the date above and tell you in the app or by email before a material change takes effect.

Text Messaging (SMS)

If you opt in to text messages, we use your mobile number only to send the messages you agreed to. Message frequency varies. Message and data rates may apply. Reply STOP to opt out at any time or HELP for help. We do not sell, rent, or share mobile phone numbers or SMS opt-in consent with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent will not be shared with any third parties.
